GENERAL
FAMILY POINTS
Why do we need the points system?
RHAC is a non-profit organization that is run by volunteers who have a busy life like you. The points system is a way to encourage parents to be more involved with club activities which are crucial to a successful swim club. Without committed parents, we can’t run the club.
How many points do I need to collect?
Each family will have to earn a minimum of 400 points each season through various club management and fundraising activities. It's important to note that a minimum of 100 points need to be earned in EACH of he RHAC hosted meets. Refer to the meets calendar to note which ones those are.
For points calculation, the swimming season starts on September 1st and ends on June 30th.
What happens if I don’t collect the required points by the end of the season?
In fairness to the contribution among club members, every missed point will result in a charge of $4. The charges will be calculated and billed to the family’s account.

I am extremely busy. Can I “buy out” the required points?
The “buy out” option is not encouraged as we can’t run any of our club events without volunteers. However, given the unique circumstance of individual needs, you can pay $1600 to buy out the obligation 400 commitment points.
I have more than one swimmer in my family, how many points do I need?
The minimum required points are per family, not per swimmer. You’ll need to collect a minimum of 400 points per swimming season regardless of the number of swimmers in your family.
RHAC is a swim club. Why do I need to volunteer for BINGO sessions?
Bingo is one of the club's fund-raising activities and currently accounts for 15 percent of our total revenue. If the club decided not to continue the fund-raising from Bingo, each member may expect to pay an extra $400 per year to compensate the loss of Bingo revenue.
I joined the club in the middle of the season. How many points do I need to collect?
Welcome to the Club! Your points requirement for your first year will be calculated based on the months you are part of the club within the season. Your prorated commitment points are calculated at 40 points per month within the season since you join the Club.
I am a new parent. I don’t know anything about Bingo. Where can I get started?
You can find all the details on the RHAC website. Please email [email protected] if you have any question about Bingo.
When is the deadline to collect the points?
You need to collect your obligation 400 points before June 30th.
What if I leave the club before the season finishes?
The required points will be calculated based on the number of months since the beginning of the season up until the time you leave the Club. A deficiency point charge will be billed to your family account if you didn’t collect the required points.
Will I be able to carry my points over to the next season?
No. All points will be settled per swim season and will not carry over to the next season. Points are also non-transferable between families. It is very common for families to earn more points than the minimum required and thanks to these committed families we're able to run very successful events.
Where can I check how many points I have?
You can check how many points in your family account by logging into the RHAC website’s member section. Click on "My Account" > "My Invoice/Payment" and select the "Service Hours" Tab.
What if I have a question with my points balance?
We are more than happy to address your questions and concerns. Just email any questions you have to [email protected] .
We are a parent run club so all your help is valuable. Some ways to earn points faster are:
- Take officials clinics to move up the ladder quickly and earn more points for senior officials positions.
Due to religious reasons, I can’t sign up for Bingo. Can I volunteer for other activities instead of Bingo?
We respect each individual values. Please contact p[email protected] and [email protected] to present your case and get the formal approval to adjust the points between Bingo and non-Bingo events.

How many swim meets does RHAC host every year?
RHAC hosts three 3-days invitational meets each year. They are scheduled in October, January and May for the 2015/2016 season. Throughout the rest of the swim season, RHAC also hosts smaller Time Trials meets and Distance meets. The number of these meets varies from year to year.
What kind of work or role can we sign up for during each swim meet?
RHAC requires a large number of Officials to run a meet, e.g. Timers, Stroke & Turn judges, Starters, etc. These tasks are specific for each official position and require prior training and certification. On the other hand, there are also a number of other positions which everyone can fulfill, e.g. kitchen helper, move helper, office admin.
How come some Official and volunteer positions earn more family points?
Family points assigned to each position are based on the skills/training and amount of effort required. For example, Chief Timer earns more family points than Stroke and Turn judges because it requires more training and it is a higher Official position.
How many family points do we need to earn each year from swim meets?
RHAC hosts a number of swim meets each year which require a fair number of volunteers and Officials to work. Each family requires to earn a minimum of 100 points in EACH of the RHAC hosted meets. Refer to the meets calendar to note which ones those are
Are there any restrictions or rules regarding which Time Trial and Distance meets I need to work at?
The club does expect each family to help out at the meets when their swimmer is attending. However, there is no limitation for everyone to help at every meet.
How do I sign up to work at a meet?
You will receive an email no later than three weeks before the swim meet starts indicating that the sign-up is open. Sign-up instructions and link to the sign-up system will be provided in that email. It is very important that you read carefully and follow the instructions stated in the email.
Is it possible to have my son/daughter to work for their high school volunteer hours during the swim meet?
Absolutely! RHAC Meet Management encourages high school students to participate and help out during swim meets as long as they are qualified for the position they sign up for. This is not limit to RHAC swimmers but open to all siblings and other high school students.
Do we get family points if my son/daughter signs up to work for his/her volunteer hours?
No. You can only choose to earn family points OR high school volunteer hours.
If I cannot help out during the weekends of the two 3-days invitational swim meets, are there other alternatives?
We encourage the family to participate during the swim meets. Not only you can work alongside with your swimmers on deck but more importantly, it is FUN!!
How do I start to get trained and become an Official?
There are a number of Officials clinics scheduled throughout the year. These clinics are hosted by Swim Ontario, RHAC, and other swim clubs. RHAC schedules internal clinics as needed throughout the year and members will be alerted via email.
